Utilizing AI & PowerApps to Manage 800+ Custom Applications
Many U.S. Government agencies rely on hundreds of custom-built applications with varying technologies, versions, and security needs. Poor tracking and documentation of these apps often lead to confusion, underutilization, and significant “technical debt” for many organizations.
Quantum Insights identified that the legacy process of the tracking software did not provide adequate information on both their purpose and availability, leading to this technical debt and redundancy. To address this, Quantum Insights created a new data storage system with enhanced labels that provide greater insight into the functions of various technologies, enabling leadership to identify instances where multiple technologies and applications serve the same purpose.
Quantum Insights streamlined the tracking of 800+ technologies used in U.S. Government healthcare applications, improving technology oversight and approval workflows.
Recognizing the need for a scalable solution to better manage the enterprise technology stack, Quantum Insights leveraged Microsoft PowerApps to build and deploy the COE application, using cleaned and enriched data on each technology’s purpose. The app allowed stakeholders to track and update technology usage, viewing approved tools in real time. AI and LLMs were also integrated to suggest alternatives when unapproved technologies were flagged.
A recurring concern within NIAID OCICB was the absence of policies and processes to manage technical debt effectively that lead to security risks, higher costs, and difficulty keeping up with evolving tech. To that end, Quantum Insights established a new governance process that delivered multiple benefits:

Reduced Technology Redundancy: Labeled technologies with similar functions to encourage reuse over new requests.
